Job Summary:
The Administrative Assistant I provides administrative support to various departments; collecting and organizing information, accurately communicating with internal and external customers, vendors and producers as well as contributing to the smooth operation of the department.
Essential Duties and Responsibilities:
  • Provide administrative support to management and supervisors including: reporting, processing and reconciliations, document and presentation preparation, customer service, and other projects and duties as assigned.
  • May support manufacturing operations including, but not limited to, shipping, production and scheduling, inventories, purchasing, receiving, payables and maintenance in an administrative capacity.
  • May perform various reception duties including: greeting and directing visitors, answering phones and properly directing callers, preparing for meetings or tours, handling inbound and outbound mail, ordering various supplies and other duties as assigned.
  • May assist with the facility's Accounts Receivable and/or Accounts Payable activities.
  • Serve as back-up to other administrative roles.
  • Attend meetings, preparing agenda and doing minutes as directed.
  • Prepare reports as directed.
  • Inventory and order supplies as directed.

Other Duties and Responsibilities:
  • Work independently or with a team on special/seasonal projects as needed.
  • Support the long-term goals of the organization.
  • Understand and adhere to Good Manufacturing Practices.
  • Safety Protocol
    • Stop any observed unsafe acts, and obey facility safety rules and procedures.
    • Correct or report any observed safety hazards.
    • Support safety policies and programs.

Qualifications:
Education Required:
  • High School Diploma or equivalent required.
  • Associate's Degree in Accounting, Finance or Business Administration an asset.
  • Equivalent combination of education and experience may be considered.
    Experience Required:
  • Minimum one (1) year of experience with similar functions preferred.
    Certification/Licensure Required:
  • None
    Skills Required:
  • Knowledge of office administration procedures and ability to operate most standard office equipment.
  • Ability to solve problems by adapting knowledge and experience, resolving in a timely manner.
  • Demonstrate attention to detail in composing, typing, and proofing materials.
  • Demonstrate excellent organizational skills, establish priorities, ability to multitask, and meet deadlines.

  • Intermediate computer skills with Microsoft Excel, Power Point, Word, Outlook and field-specific software.
  • Basic math skills (addition, subtraction, multiplication, division).
  • Communicate effectively both verbally and in writing with executives, managers, colleagues and individuals inside and outside the organization.
  • Dedication to meet the expectations and requirements of internal and external customers; acts with customers in mind.
  • Ability to develop/modify written programs, presentations, and training materials as needed.
  • Strong interpersonal skills and ability to work effectively at all levels in a collaborative team environment.
  • Exhibit a professional manner in dealing with others and work to maintain constructive working relationships.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
